GLM · Rental Terms
These terms govern every equipment rental from Geared Like A Machine. Part 1 covers GLM's rental policies, the day to day of how rentals work. Part 2 is the Rental Agreement, the legal terms the Renter accepts when booking or picking up equipment. Read both before confirming a rental.
Part 1
GLM matches LensRentals.com pricing to the dollar on every item they carry. Pickup is after 2 PM on your start date, return by 11 AM on your end date. Those are logistics windows, not billable days. Pricing follows LensRentals' 7-tier flat-fee structure adapted for local pickup: 1 use day is the 3-day tier, 2 use days is the 4-day tier, 3 to 5 use days is the 7-day tier, 6 to 8 is the 10-day tier, 9 to 12 is the 14-day tier, 13 to 19 is the 21-day tier, 20 or more is the 30-day tier. The weekend special, Friday after 2 PM to Monday by 11 AM, counts as 1 use day at the 3-day tier rate. Items LensRentals does not carry use a comparable tier curve derived from the daily rate.
A Certificate of Insurance (COI) naming GLM as additional insured is required for rentals with a total replacement value over $5,000. For rentals under $5,000, a valid credit card hold is accepted in lieu of a COI. GLM Shield, GLM's optional damage waiver, is available at the quote step and limits Renter liability for covered events. Coverage tiers and exclusions are published on the equipment protection page.
Cancellations made more than 24 hours before scheduled pickup are free of charge. Cancellations within 24 hours of scheduled pickup are charged 50% of the rental total. No-shows and cancellations made after the pickup window has passed are charged 100% of the rental total.
Damage is charged at factory repair cost or replacement cost, whichever is less. Lost or stolen equipment is charged at full market replacement value. Late returns are charged at 25% of the standard daily rate per day overdue until the equipment is received and inspected by GLM. Equipment more than seven days overdue with no communication is treated as lost and charged at full replacement value. If the Renter elected GLM Shield at booking, charges for covered damage are limited according to the GLM Shield terms on the protection page. Water damage, theft without Shield Plus coverage, intentional misuse, and gross negligence are never waived.
GLM is based in Rockwall on the far east side of the DFW metroplex. Pickup at our location is free; delivery is offered across the Metroplex at the published rates below. Delivery fees are round-trip and cover both drop-off and pickup by our team. Anything outside these zones (west of Fort Worth, outside DFW) is quoted case by case.

Zone assignments are approximate. GLM will confirm the exact fee when reviewing your quote based on your specific address and shoot timing. Delivery fees are added to your quote total automatically when you select a delivery zone at the quote review step.
Part 2
This is the legal agreement between the Renter and Geared Like A Machine. The Renter accepts these terms by confirming a rental quote, picking up equipment, or accepting delivery of equipment. The Rental Agreement applies to every rental, in addition to the Rental Policies above.
By confirming a rental quote, picking up equipment, or accepting delivery of equipment from GLM, you agree to these Rental Terms and Conditions, including the Rental Agreement Terms below, on behalf of yourself and any company, client, or production you represent (collectively, the Renter). These terms, together with the rental invoice issued by GLM, form the complete rental agreement between the Renter and Geared Like A Machine (GLM).
All equipment remains the exclusive property of GLM at all times. The Renter receives a limited, non-transferable right of possession for the stated rental period only. The Renter may not sell, pledge, encumber, or grant any security interest in the equipment to any third party. If any third party attempts to claim, attach, or seize the equipment, the Renter must notify GLM immediately and take reasonable steps to protect GLM's ownership interest.
All equipment is provided AS IS. GLM makes no warranty, express or implied, of merchantability, fitness for a particular production, or performance. GLM tests every item before release. If the Renter confirms a defect at the time of pickup or delivery, GLM will repair, replace, or substitute the item at GLM's reasonable discretion.
The Renter has three (3) hours after taking possession of equipment to inspect it and report any pre-existing damage, missing accessories, or functional issues by email to intake@gearedlikeamachine.com. After this window, all equipment is presumed to have left GLM in the condition listed on the rental invoice, and any damage or missing accessories discovered later is the Renter's responsibility.
The Renter will use the equipment only for lawful purposes and only by trained, competent operators. Equipment may not be used in conditions or applications that it is not rated for, or in any manner that violates manufacturer safety guidelines. The Renter may not sublease, loan, or otherwise transfer possession of the equipment to any third party without prior written consent from GLM. The Renter may not use the equipment for adult content or any activity that could reasonably expose GLM to legal or reputational harm.
During the rental period, the Renter is responsible for protecting the equipment from damage, theft, weather, dust, moisture, power surges, and any environmental hazard. The Renter will provide any required consumables, media, cables, batteries, or protective cases that are not expressly included on the rental invoice.
All equipment must be returned clean, in its original case, with every accessory listed on the rental invoice, and in the same working condition as delivered. Cleaning fees of up to $50 per item may apply to equipment returned in visibly dirty condition. Missing accessories are charged at their current replacement cost.
From the moment of pickup or delivery until the equipment is received back at GLM's facility and inspected, the Renter bears all risk of loss, theft, damage, or destruction of the equipment, regardless of cause. This includes loss or damage during transport, on set, in storage, between locations, and while in the possession of any crew member, contractor, or subcontractor of the Renter.
In the event of damage, the Renter will pay the cost of factory repair or replacement, whichever is less. In the event of loss or theft, the Renter will pay the full market replacement cost of the equipment. All charges may be applied to the credit card on file without further authorization and are due within three (3) business days of notice. If the Renter elected GLM Shield at the time of booking, charges for covered damage are limited in accordance with the GLM Shield terms published on the protection page. GLM Shield never covers water damage, intentional misuse, gross negligence, or any other exclusion listed on the protection page.
Equipment not returned by 11 AM on the end date listed on the rental invoice is considered late. Late returns accrue charges at 25% of the standard daily rate per day overdue, plus any applicable rental extension fees, until the equipment is received and inspected by GLM. Equipment more than seven (7) days overdue with no communication from the Renter is treated as lost and charged at full replacement cost.
The Renter is in default if the Renter fails to return equipment when due, fails to pay any charge when due, allows the equipment to leave the Renter's possession without GLM's consent, or materially breaches any provision of these terms. In the event of default, GLM may, without limiting any other remedy available at law or in equity: (a) demand immediate return of the equipment; (b) enter any location where the equipment is reasonably believed to be held and take possession of it, at the Renter's cost; (c) charge the credit card on file for any amount due, including full replacement value; and (d) pursue collection through any lawful means, including civil litigation and collections agencies. The Renter is responsible for all reasonable costs of recovery and collection, including attorney's fees and court costs.
The Renter agrees to indemnify, defend, and hold harmless GLM, its owners, employees, contractors, and affiliates from and against any and all claims, damages, losses, liabilities, and expenses, including reasonable attorney's fees, arising out of or related to the Renter's possession, use, operation, or transportation of the equipment, including any injury to persons or property occurring during the rental period. This obligation survives the end of the rental period.
GLM's total liability to the Renter for any claim arising out of this agreement or the use of the equipment, regardless of the legal theory asserted, is limited to the total rental fees paid by the Renter for the specific rental giving rise to the claim. GLM is not liable for any indirect, incidental, special, consequential, or punitive damages, including lost revenue, reshoot costs, crew fees, talent fees, location fees, equipment substitution costs, or delayed delivery of a client project, even if GLM has been advised of the possibility of such damages.
All formal notices required under this agreement must be sent to GLM by email to intake@gearedlikeamachine.com or by certified mail to the mailing address GLM provides upon written request. Notices to the Renter will be sent to the email address or phone number listed on the rental invoice and are effective upon delivery.
These Rental Terms and Conditions, together with the rental invoice, constitute the entire agreement between the Renter and GLM regarding the rental equipment. Any verbal understandings, prior communications, or side agreements are superseded by these terms. No modification to this agreement is effective unless made in writing and acknowledged in writing by an authorized representative of GLM.
The Renter may not assign this agreement or transfer any rights or obligations under it without prior written consent from GLM. GLM may assign its rights and obligations under this agreement freely. Any attempted assignment by the Renter in violation of this section is void.
This agreement is governed by the laws of the State of Texas, without regard to its conflict of laws principles. The Renter and GLM agree that the exclusive venue for any dispute arising out of or related to this agreement is the state or federal courts located in Dallas County, Texas. The Renter consents to the personal jurisdiction of those courts and waives any objection to venue.
If any provision of this agreement is held invalid or unenforceable by a court of competent jurisdiction, the remaining provisions will remain in full force and effect. The invalid provision will be reformed to the minimum extent necessary to make it enforceable while preserving its original intent.
GLM reserves the right to refuse service, require additional documentation or deposits, or cancel any rental at any time before equipment release, for any lawful reason. A waiver of any provision of this agreement in one instance is not a waiver of that provision in any other instance.
